Request data deletion

You can request deletion of your personal data at any time (Art. 17 GDPR). This is the public route for website contact, contract and n3tz SaaS data. You do not need an account or sign-in.
n3tz is generally the controller for direct contact with n3tz. For data a business processes through n3tz, that business is generally the controller and n3tz is its processor. You may still send the request to us; we will assign it to the correct area of responsibility and, where necessary, forward it to or coordinate it with the relevant business.
1. How to submit your request
Send an email to mail@n3tz.ai with the subject “Data deletion”. So that we can reliably find your data — and so that nobody can have someone else’s data deleted — please include:
- your name
- the phone number you called from or received an SMS on (if applicable), in international format (+49 …)
- the email address you used to contact us (if applicable)
- the business you were in contact with, if you know it
If you have an account in our application, you can alternatively submit the request directly at zentrale.n3tz.ai/settings under Privacy. The email route remains available to you regardless.
2. Which data this covers
Depending on the contact and enabled function, your request may cover:
- contact, account, contract and payment data
- call data, phone numbers, call transcripts and summaries
- source dictation transcripts for document drafts
- webchat, email, appointment and SMS data
- document, receipt and accounting data, plus case photos and related metadata
Processing locations depend on the function: text processing is configured on Vertex AI in the EU region, while AI live calls are processed through Gemini Live in the United States. See our privacy policy for details and transfer mechanisms.
3. What happens next
We confirm receipt and assign the request to the correct area of responsibility. Where n3tz is the controller, we respond without undue delay and in principle within one month (Art. 12(3) GDPR). Where the request is complex or numerous requests are being handled, that period may be extended by up to two further months; we will tell you about the extension and its reasons within the first month. Where the relevant business is the controller, we forward the request or assist it as processor and tell you how the request was assigned. If secure matching, identity verification or clarification of scope requires more information, we will ask specifically and explain what is missing.
4. Where deletion reaches its limits
We would rather be honest here than promise a complete deletion we cannot deliver: certain records are subject to statutory retention periods and may not be deleted by us while those periods run. This applies in particular to invoices and receipts, which must be retained under German commercial and tax law and the principles of proper bookkeeping (GoBD).
Where erasure is not permitted because of statutory duties, the establishment, exercise or defence of legal claims, conflicting third-party rights or another exception under Art. 17(3) GDPR, we restrict further processing as required and erase the data once the obstacle ceases. Operational or technical dependencies and active conflicts may also prevent immediate complete removal. In that case we erase or anonymise the personal content to the extent legally and technically possible without unlawfully changing third-party records or required evidence.
Backup copies may remain until their scheduled overwrite or deletion and stay blocked from ordinary processing until then. Where relevant to the request, we identify the demonstrably active backup and deletion plan for the specific operating environment. Before restored data is released to ordinary processing, continuing erasures and restrictions must be applied again.
A request may therefore be completed in full, in part or — where no matching data exists or an exception applies — without erasure. Our response identifies the areas handled, data erased or anonymised, remaining restrictions and their reason. If anything remains open, we identify the responsible business or the next information required and continue processing after your reply.
